Overview

This guide describes the process for adding External Examiners to your modules on Moodle.The External Examiner builds on the non-editing tutor role and is essentially a "read-only" role that receives no notifications at all from any Moodle activities and can be assigned only at course level. A user enrolled on this role can view all the content on the space, but cannot make any edits to it. Please use this role when enrolling External Examiners on Moodle courses as it is the only role that does not receive notifications and semantically describes what their role is on the course.

External Examiners should all have a UCL username and password; they are set up by Academic Services on the Services System as a visitor (https://www.ucl.ac.uk/srs/academic-policy-quality/external-examining). This configuration provides them with a UPI as well as computer account credentials.

Once the account is created your Department Administrator/Computer Rep should liaise with Service Desk so that the External Examiner is set up on MyAccount and can update his/her password. The only remaining step is to contact the External Examiner and ask them to log in to Moodle so that they can accept the Terms & Conditions; you can now enrol them on modules following the process below.

How can I add External Examiners to a Moodle module?

The process is exactly the same as when you are adding a colleague in any role, the only difference is the role you are allocating to the user - the steps would be as follows:

  • Log in to Moodle and go to the module that you want to add the external examiner to;
  • Expand the Users option from the Course administration block and select Enrolled users;
  • Once the Participants page loads up, click on the Enrol users button at the top right of the page;
  • Select External Examiner from the list of roles and type the name (or UCL e-mail address) of the external examiner that you want to add - make sure that you select the user from the drop-down menu so they show up in Select users, otherwise they will not be enrolled;
  • Do make sure that the Assign role column is not empty (otherwise you are adding a user with no permissions to do anything on the module) and set to External Examiner and click on Enrol users.
